Reservation
All travel arrangements should be booked at least within Five days in advance. For tour packages we strongly recommend that you book with a few weeks’ notice. For Group Tours we recommend that you book with a few months’ notice.
Once you have confirmed and submitted his/her booking and personal travel details to Loka Tours and Travels you will receive a confirmation and pro-forma invoice of you booking via e-mail. Please note that All bookings require a Non-refundable Down Payment of IDR 5.000.000,- per person of the total package price at the time of the booking.
If booking occurs less than 7 days before your arrival date FULL payment is required. If you prefer to pay for your booking with a bank transfer, please contact LOKA TOURS AND TRAVELS through email (marketing@loka.co.id or lokatours.id@gmail.com) and send us all the information regarding the booking, name of the guests, details of the tour, type of transportation, preferred accommodation, arrival date and deposit slip/confirmation.
The travel voucher will be emailed to you once the FULL payment has been received. You will receive the travel documents: e-tickets, vouchers and itinerary via email. Please print out these documents, you will need to show them for all services during visit to preferred destination.
Booking services with LOKA TOURS AND TRAVELS is available only to persons aged 21 years and older, authority and capacity to transact business and agree to abide by this Agreement. If you are using the Services on behalf of another organization or entity, then they are agrees to be bound by this Agreement on behalf of that Organization and you represents and warrants that you have the authority to bind the Organization to this Agreement. By submitting a booking, you warrants and confirms to LOKA TOURS AND TRAVELS that they are complies with these arrangements.
Terms of Payment
Currency
The Price shall be payable in the invoiced currency (we cannot accept payment for a single booking in multiple currencies).
Deposit
A non-refundable deposit of IDR 5.000.000,- per person must be remitted in order to process the reservation. Deposit payment applies for land packages only; air travel will be purchased separately.
The full price of the airfare shall be payable within 3 days of receipt of the Confirmation Invoice. Where the booking is made more than 60 days in advance of the Departure Date a non-refundable Deposit of IDR 5.000.000,- per person shall be payable on booking and the balance of the price shall be payable in full no later than 60 days prior to the Departure Date.
If the booking is made less than 60 days in advance of the Departure Date, full price shall be payable in within 7 days of receipt of the Confirmation Invoice. Time for payment shall be of the essence. No payment shall be deemed received by Loka Tours and Travels until we have received cleared funds.
Validity of Price
All rates quoted or shown in our tariffs are based on current prices. LOKA TOURS AND TRAVELS reserves the right to alter or change already published prices on the website without notice in the event of currency fluctuation, government taxes, or any such costs increases that is outside LOKA TOURS AND TRAVEL’ control. LOKA TOURS AND TRAVELS reserves the right to alter routes, itineraries or departure times without prior notice should this be necessary due to weather or other reasons that are beyond LOKA TOURS AND TRAVELS‘ control.
Please notice that in the case of changes of flights, the passenger is responsible for any additional and incidental expenses incurred due to delay, suspension, accidents and local conditions must be borne by the passenger is responsible for any additional costs that become payable as a result of such changes.
Cancellation/Refunds
Flights
If the tour package includes international or domestic air tickets, cancellation of airline ticket will be based on its cancellation policy, based on their fare rules. LOKA TOURS AND TRAVELS only acts as an agent for the airlines and is not responsible if the said Airline cancels, reschedules, or delays a flight for any reason. In any case, LOKA TOURS AND TRAVELS will extend necessary assistance to address concerns of guests and to safeguard their welfare, but the Airline Company will be responsible for the final decision on such requests. Additional and incidental expenses incurred due to delay, suspension, accidents and local conditions must be borne by the guest.
Land Arrangement
Once booking is confirmed and finalized, All Land Arrangement bookings and the down payment are Non-Refundable. There is No Refund for any unused tours, transport, hotels. However, in the event of natural calamities and force majeure, or mandated government cancellations, you may be entitled for a refund, subject to the Supplier’s (ex. Hotel) Terms and Conditions.
Insurance
You must be covered by appropriate travel insurance (which should include medical, air evacuation, rescue and repatriation insurance). While we take every precaution to ensure your safety we do not accept liability for illness, injury or death howsoever caused.
You are responsible for ensuring that all information provided to any insurance company is correct and not misleading and we cannot be responsible for any problems that may arise as a result of any policy of insurance becoming invalid as a result of any error or omission in respect of such information.
Passport
In general, passports are required for all citizens. Your passport should be valid for at least six months after your date of return (longer for some destinations), or you may be denied entry.
Visa
Visas are required for many countries visited on our packages. Some countries also require proof of immunization against certain diseases, and minors (children under age of 18) traveling without parents, with only one parent, or with a parent of a different surname may be required to provide other documents.
